AI receptionist & agentic automation for dental practices

The phone rings while your assistant is working sterile. The agent answers, books check-ups and refills cancellations from your waiting list.

Sound familiar?

  • Your assistant cannot answer while chairside, and that is most of the day.

  • A same-day cancellation is an empty hour you will never sell.

  • Pain calls and routine check-ups arrive on the same number and need very different responses.

What the agent does

From missed call to booked job

Answer and establish urgency

The agent answers 24/7 and separates at the first question: pain, check-up, cancellation or admin. Pain calls follow your rules to the practice or the dentist on call.

Appointment in your calendar

Check-ups and hygiene appointments are booked into the treatment blocks you reserve, with SMS and e-mail confirmation.

Summary on WhatsApp

Cancellations are processed and followed up: the agent can contact patients from your waiting list to refill the freed hour.

Every caller recorded

Administrative questions about referrals, insurance and invoices are answered or routed on, without involving the front desk.

Answers from your knowledge base

Questions about fees, whether you take new patients, out-of-hours cover and waiting times come from your own knowledge base.

Advantages

Empty chairs get refilled

A nine o’clock cancellation refilled by ten is the difference between a lost day and a normal one.

Your assistant stays chairside

Assisting and answering the phone cannot happen at once. Now she does not have to choose.

Reachable outside opening hours

Toothache rarely starts at ten in the morning. The agent records the report and follows your out-of-hours rules.

Fewer no-shows

SMS confirmations and reminders cost nothing and are the cheapest way to prevent empty slots.

Drawbacks and limits

We list the drawbacks because otherwise you discover them after buying. Each one comes with how we handle it.

The agent does not triage medically

It does not judge how serious a complaint is. It asks your fixed questions and applies your rules — assessment stays with the practice. That is deliberate, and means your urgency rules have to be set properly.

Anxious patients want a familiar voice

Dental anxiety is real. For those patients an assistant feels wrong; you can let known numbers transfer straight through.

Full effect needs a practice-system integration

Without a connection to your calendar and patient system the agent books into a calendar alongside your software. That works, but the gain sits in the integration.

Frequently asked questions

Can the agent decide whether something is urgent?

It applies your rules; it does not assess. You define which answers trigger an immediate transfer — swelling, a knocked-out tooth, severe pain — and the agent follows them without interpretation of its own.

Can it refill cancellations from the waiting list?

Yes, outbound. On a cancellation the agent can call or message waiting-list patients with the freed slot and book the first to confirm.

Does this work with my practice software?

Booking works directly with Google Calendar or Calendly. Connecting a practice management system needs an integration; without one the agent books into a mirrored calendar.

What about patient data?

Calls are not recorded — only a text transcript, which you can switch off entirely. All processing and storage happens within the EU and records can be deleted per patient.
